Food manufacturing — from recipe to shelf with batch traceability

For every batch, the record shows which raw materials it was made from, when and by whom, and who received it. Goods with the nearest expiry date ship first, and a defective batch is found within hours.

Problems

Typical obstacles in food manufacturing

Products spoil quickly, recipe consumption varies, and control must be documented for every batch. Paper and Excel are not enough.

Recipe and workshop

  • The recipe lives in the foreman's memory or in a separate notebook
  • Actual consumption differs from the recipe, and the reason is not recorded
  • It is unclear who approved a change to the recipe
  • Leftovers and by-products are not accounted for

Batch and expiry

  • Goods nearing expiry are forgotten in the warehouse
  • It is hard to quickly find which customers received a defective batch
  • The raw material batch is not linked to the finished product batch
  • Expired goods end up in an order again

Quality and documents

  • Control records (temperature, measurements) are on paper and hard to search
  • Marking codes and warehouse stock are kept separately
  • Export and domestic sales documents are prepared by hand
  • The gap between planned and actual cost is not visible
In Odoo

Which app does which job

The Odoo website lists the Sales, Accounting, Manufacturing, Shop Floor, Quality and Inventory apps for food. Shop Floor, Quality, PLM and Barcode are in the Enterprise edition (odoo.com/page/editions). Which apps are needed is determined during the diagnostic.

Sales

Order, delivery date, invoice; terms for wholesale customers.

Production

Recipe (BoM), batch order, by-product, backorder, cost.

Shop Floor

Operators are assigned to work centers; steps and quality checks are in the order.

Warehouse

Raw materials, semi-finished and finished goods; batches, locations, reorder rules.

Expiration date

Four dates tied to the batch and picking by FEFO.

Quality

Control points, inspections, defect alert, corrective and preventive action.

Purchase

Raw material purchasing, supplier history, batch number at receipt.

PLM

Managing recipe changes with approval, and rolling them back.

Barcode

Receiving, picking and reading the batch number with a scanner.

Accounting

Stock valuation, actual cost, invoice, 12% and 0% VAT.

Recipe

A recipe is a bill of materials, a batch is a manufacturing order

In Odoo a recipe is a bill of materials (BoM) that contains components, quantities and operations. A manufacturing order launches it with a specific quantity and date: one batch, one order. A large volume can be split into several orders of a set batch size (Split). If actual consumption differs from the recipe, Odoo warns on closing, and the decision is left to the workshop manager.

  • If a recipe changes, the PLM app opens a change order (ECO); if an approver is assigned, the change is not applied to the recipe until the approver accepts it
  • A product that comes out of the process alongside the main one (for example, press residue) is recorded in the bill of materials as a “by-product” (By-products) and held as a separate stock balance
  • If only part is ready, the remainder is split into a separate order
  • Details: bill of materials and order, Shop Floor

Process

From order to shelf

At each stage the document, batch and status are kept inside Odoo.

01Order and deadline

The delivery date is entered with the order; perishable products are planned against that date.

02Receiving raw materials

At receipt, raw materials are entered with a batch number and expiry date; the supplier's document is saved.

03Batch order

Materials are checked against the recipe; a purchase request is created for any shortfall; by FEFO, the raw material with the nearest expiry is reserved.

04Execution on the shop floor

The operator carries out the steps, enters measurements and a photo, and opens an alert if there is a defect.

05Finished batch

Finished goods are assigned a batch number and expiry date, and the quantity is received into the warehouse.

06Shipment

The batch with the nearest expiry is selected first for an order; an expired batch is not selected.

07Tracing and reporting

A batch's path from raw material to customer is visible in a single report; cost is compared with the plan.

Batch and shelf life

Four dates, FEFO and batch traceability

Shelf life is assigned only to products tracked by batch (lot) or serial number. On the product card, four dates are set in days: expiration date (Expiration Date), best-before date (Best Before Date), removal date (Removal Date) and alert date (Alert Date). On receipt or production, the batch dates are calculated automatically from these values. The FEFO picking strategy works by the removal date and is chosen on the location or the product category; if it is set on both, the category takes priority.

  • Example from the Odoo documentation: eggs have a 30-day shelf life and the removal date is set 15 days before expiry; a batch received on 1 January expires on 31 January and is removed starting 16 January
  • You can add your own fields to a batch (lot properties), for example the supplier certificate number
  • The traceability report shows the product's full path: where it came from, where it was stored and who it was shipped to
  • Cost can be tracked by batch (in a category using average cost or FIFO)
  • Details: lots and expiration dates, FIFO and FEFO

Quality control

Control points and their limits

In the Quality app, a control point defines in which operation, for which product and how often a check is created: every time, at a random percentage, periodically or on demand. Check types: instructions, taking a picture, registering consumption and output, pass/fail, measure. If a defect is found, a quality alert is opened, recording the corrective and preventive action. In Shop Floor, the operator opens the alert directly from the order.

  • Odoo keeps control records, but it does not draw up a HACCP plan itself and does not issue a certificate of conformity: the critical points are defined by a food technologist and an expert
  • The national Sanitary Rules and Norms (SanQvaN No. 0108-26) describe HACCP; we configure control points to match the records in your HACCP plan

Sanitation, marking and taxes: what was checked

The information below comes from official sources (lex.uz, gov.uz). The regulatory framework in the food sector is changing quickly: the version currently in force is rechecked at the start of the project.

Sanitation and safety

  • The Food Safety Committee was established by Presidential Decree PF-84 of 12 May 2026; it develops sanitary rules and ensures the broad adoption of HACCP principles among food business operators (gov.uz)
  • SanQvaN No. 0108-26 sets permanent procedures based on HACCP principles; it was registered with the Ministry of Justice on 7 March 2026 under No. 3898 (gov.uz)
  • The draft law “On Food Product Safety” was considered by the Senate (report of 2 October 2026); its adoption has not been confirmed
  • The list of food and agricultural products that require a sanitary-epidemiological conclusion is in Appendix 3 to Cabinet of Ministers Resolution No. 43

Technical regulations and labeling

  • The general technical regulations approved in 2017–2020 (food labeling, milk, meat, alcoholic and non-alcoholic beverages, fats and oils, juice, bottled water and others) are marked on the gov.uz page (standardization section) as no longer in force from 2 September 2025 (Cabinet of Ministers Resolution No. 553)
  • A new packaging regulation was approved by Resolution No. 109 of 24 February 2025
  • The labeling and safety requirements currently applicable to your product are determined at the diagnostic from the official lists

Digital marking (Asl Belgisi)

  • Digital marking groups according to the Tax Committee page: tobacco and alcohol (1 January 2021), beer (1 April 2021), household appliances (2022), medicines (2022), water and soft drinks (1 March 2024)
  • A voluntary pilot project for vegetable oil was approved by Cabinet of Ministers Resolution No. 23 (23 January 2026): a producer or importer that wants to take part orders a marking code from the operator and applies it to the product
  • From 1 July 2026, when marked goods are sold, the system automatically checks permits and codes as the electronic invoice is generated (the same resolution)
  • Whether your product falls into a group is checked at the diagnostic: about Asl Belgisi
Taxes and documents

Documents for domestic sales and export

Based on the Tax Code, Cabinet of Ministers resolutions and the Odoo documentation.

Domestic sales

  • The standard VAT rate is 12% (Article 258). The “exempt” tax examples in the Odoo documentation (meat, fish, potatoes, rice) were not found in the current list in Article 243 of the Tax Code: we check the VAT treatment of each product together with your accountant
  • An invoice is, as a rule, issued electronically (Article 47); if goods are sold with shipment, it can be combined with the waybill (Resolution No. 168)
  • When accepting cash or card payments, an online or virtual cash register from the state registry is required, with the IKPU (MXIK) code on the receipt and a device able to read barcodes and marking codes (Resolution No. 943): online cash register

Export

  • Goods released under the export customs regime are taxed at 0% (Article 260); supporting documents: the contract, the customs cargo declaration and shipping documents (Article 261)
  • Input VAT is credited in proportion to the share of foreign-currency revenue; for a disciplined taxpayer it is credited regardless of receipts, but if no revenue arrives within 180 calendar days, the credit is written off (Article 266)
  • Products from the approved list grown by agricultural producers (except cotton and grain) are taxed at 0% from 2026 (Article 264); the Odoo package has a 0% tax for export, but no separate tax is mentioned for this case
  • Requirements for phytosanitary and veterinary documents depend on the product and the market: they are determined at the diagnostic

FAQ

Frequently asked questions

Does Odoo ship the product with the nearest expiry date first?

Yes, when the FEFO strategy is enabled. In the product form, the expiration and removal dates are set in days, the dates for a batch are calculated automatically, and at shipment the batch with the nearest removal date is picked. The strategy is set on a location or a product category.

How do I find a defective batch?

The batch number is recorded from raw material receipt to shipment to the customer. The traceability report shows where the batch came from, where it was stored and who it went to. The result depends on batch numbers being entered correctly, so we train staff in the entry procedure at receiving and in production.

Does Odoo meet HACCP requirements?

Odoo maintains control points and inspection records, but it does not draw up a HACCP plan and does not issue a certificate of conformity. The critical points and limits are defined by a food technologist and an expert, and we transfer them into the system.

Does Odoo print ingredients and allergens on the label?

Odoo's website mentions preparing labels with ingredients, allergens and nutrition facts. Which format meets Uzbekistan's requirements depends on the labeling rules currently in force: the 2017 regulation is marked as no longer in force, so we agree the label template at the diagnostic against the official requirements.

Does Odoo connect to Asl Belgisi?

The Odoo documentation does not describe a connection to Asl Belgisi. If your product falls into a marking group (for example, beer or water and soft drinks), obtaining the code, applying it to the product and linking it to reporting are estimated separately at the diagnostic.

Does Odoo have a ready-made VAT-exempt tax for food products?

Odoo's official Uzbekistan localization (Fiscal Localization → “uz Uzbekistan”) provides 12%, 0% export and exempt taxes, but the examples of exempt goods in the documentation were not found in the current list in Article 243 of the Tax Code. The accountant confirms the VAT treatment of each product, and the taxes are configured accordingly.

Which edition is needed for tablets on the production floor and for quality control?

The Shop Floor, Quality and PLM apps are available in the Enterprise edition. Odoo Online does not allow modules with custom code; if code-level customization is needed, Odoo.sh or your own server is chosen.

How much does the service cost and how long does it take?

The Odoo license depends on the number of users and apps (terms at odoo.com). The scope of BUline's service depends on product groups, production floors and warehouses, users, branches, integrations, data volume and training; the exact cost and timeline are given in a written proposal after the free diagnostic.
