Home/Odoo/Wholesale and FMCG distribution

Wholesale and FMCG distribution — from order to settled debt in a single chain

Prices by customer group, agent orders, batch picking, delivery, electronic documents and credit control run in one database. Some areas, such as the agent route and a mandatory credit limit, may need work beyond the standard setup — we say so openly.

Problems

Typical obstacles for a distributor

There are many customers, each with its own terms, and goods turn over fast. If everything is run in Excel and Telegram, errors surface at the end of the month.

Customer and price

  • Each customer's price and terms are kept in Excel or in message threads
  • Discount agreements are disorganized, and it is unclear who promised what
  • The agent quotes an outdated price

Agent and delivery

  • Orders arrive by phone, on Telegram or on paper
  • The delivery schedule is drawn up by hand every day
  • Partial deliveries and returns get lost in the records

Receivables and documents

  • Nobody monitors how long a debt has been outstanding
  • The invoice and waybill are retyped in two places
  • Batch and shelf-life problems are noticed late
In Odoo

Which app solves which problem

The core set for a distributor. Which apps are needed is determined at the diagnostic.

Sales

Quotation, order, price list, agent commission, invoicing policy.

CRM

Working with customers: stages, next actions, a view by team.

Warehouse

Batches, reservation, picking, delivery, backorder, returns.

Barcode

Receiving, picking and counting with a scanner. Included in Enterprise.

Expiration date

Expiry by batch, warnings and issuing the nearest-expiry goods first (FEFO).

Purchase

Minimum stock rule, supplier terms, direct delivery (dropshipping).

Accounting

Customer invoices, payment terms, credit note, bank reconciliation, receivables.

B2B portal

Closed catalog, access by invitation, payment against an invoice, reorder.

Warehouse POS

A customer who comes to the warehouse and pays on site: the order is closed at the POS in full or with an advance payment.

Process

From order to settled debt

Each stage leaves its own document, so sales, the warehouse and the accountant all look at the same number.

01Order

A request from an agent, a manager or the B2B portal is entered into a quotation. When the quotation is confirmed, it becomes a sales order.

02Price and terms

The price list and payment terms from the customer record flow into the quotation automatically. A manager can change them when needed.

03Reservations

When the order is confirmed, the goods are reserved. If stock is short, a purchase request is prepared.

04Picking

Orders are picked in groups (batch, wave or cluster). Goods with an expiry date are issued under FEFO from the nearest batch.

05Deliver

Deliveries are sequenced on a map (Odoo 19). If delivery is incomplete, a backorder is opened for the remainder.

06Documents

The invoice is issued for the order or for the delivered quantity. The electronic invoice and the waybill are prepared.

07Payment and receivables

A due date is set from the payment terms, the payment is reconciled against the bank entry, and the customer's debt is visible.

08Returns and reporting

A return is processed with a credit note. Management sees sales and receivables by customer, agent and product group.

Hypothetical example

A store ordered 50 boxes, the warehouse has 40

The example is hypothetical. The policy decides when the invoice is issued, and this decision also affects receivables. The policy is set on the product record and is applied automatically only to new products.

  • Under the “Delivered quantities” policy, an invoice is issued for 40 boxes; when the remaining 10 boxes are delivered, a second invoice follows
  • Under the “Ordered quantities” policy, the invoice for 50 boxes is issued immediately
  • Depending on the “Create Backorder” value on the operation type, a separate document for the remaining 10 boxes is opened or offered
  • For a distributor that delivers in batches, the first policy is usually the better fit; this decision is confirmed at the diagnostic
  • For existing products the policy is changed manually, otherwise two different procedures will run in the same warehouse

Customer groups and price lists

A price rule: for what, how much and when

An Odoo price list replaces the price on the product record with rules. There are no figures in the text because only the mechanism is described here.

What a rule consists of

  • For what: a specific product, a product category or everything
  • How much: a percentage discount, a formula or a fixed price
  • When: a minimum quantity, a validity period, a packaging type

Which rule applies

  • The more specific rule wins: from a product variant up to all products
  • If specificity is equal, the rule with the larger minimum quantity wins
  • Then category order, then creation date: the newer rule wins

Control

  • According to the documentation, the price list proposes a price; on a sales order it can be changed manually
  • Who can change a price is restricted through roles and approval rules
  • In Odoo 20, the price list report is grouped by category and filtered by a specific date
Honest scope

What Odoo includes as standard and what we add

Most of the trade chain is covered by ready-made apps. The agent visit route, a mandatory credit limit and electronic documents are separate work. The data follows the Odoo 20 documentation; if your version differs, we check it at the diagnostic.

Uzbekistan requirements

Local requirements for wholesale

The items below have been checked against official sources. Those that apply to your line of business, we list in writing at the diagnostic.

Electronic invoicing

  • The electronic invoice has been mandatory for all business entities since 1 January 2020 (Resolution No. 522)
  • The seller sends the document with an electronic digital signature (EDS), the buyer confirms or rejects it, and then a QR code is attached
  • Cash sales with a receipt, exports and imports fall outside this procedure
  • From 1 January 2026, every electronic invoice receives a risk level (Resolution No. 830). VAT on a high-risk invoice is credited to the buyer only after it has been paid to the budget in full
  • The electronic invoice and Odoo

Waybill

  • From 19 March 2025, if goods are sold together with shipment, the invoice can be combined with the electronic waybill (Resolution No. 168)
  • If the goods are collected without transport or are not sold at the time of shipment, the documents cannot be combined
  • In the combined document, the buyer's confirmation is given when delivery is completed
  • Combining the invoice and the waybill

Codes and marking

  • The IKPU (MXIK) code — the national goods and services classifier — is shown on the invoice and receipt; if the first 11 digits of the code do not match the base code, a fine applies (Resolution No. 263)
  • Marking groups: tobacco, alcohol, beer, household appliances, medicines, water and soft drinks
  • From 1 July 2026, the electronic invoice automatically checks the permit, registration in the Asl Belgisi marking system and the codes
  • Wholesale of digitally marked goods is carried out only by non-cash payment through bank accounts (Presidential Resolution PQ-190, 23 May 2025); the Tax Committee restated this on 21 October 2026
  • How IKPU (MXIK) works

Receivables and tax

  • Sales on credit and by installments are governed by Articles 421 and 422 of the Civil Code
  • For a large debt, the term, amount and payment procedure are set out in a written agreement (recommended)
  • The VAT rate is 12 percent; the same applies in Odoo's official Uzbekistan localization
  • Businesses whose main activity is trade, catering or services can voluntarily choose a simplified VAT regime from 1 June 2026 to 1 January 2030 (Presidential Decree PF-100, 26 May 2026): 6% VAT on all turnover, 0% profit tax, and VAT paid on purchases is not deductible. Companies with a state share of 50% or more, and large taxpayers, cannot choose it. Odoo’s Uzbekistan package does not mention a ready-made tax for 6%; an accountant confirms whether it applies

The BUline Method

How we implement Odoo at a distributor

The stages follow the general BUline Method. The timeline is agreed in writing after the diagnostic. Implementation process →

01Diagnostic1–2 weeks

We study customer groups, price and terms rules, agent work, the warehouse, credit control and the document flow. Result: a business requirements document (BRD).

02Architecture1–3 weeks

The price list structure, invoicing policy, roles, approval rules and the electronic document path are confirmed.

03Sprints8–16 weeks

First, one customer group and one warehouse go through the full cycle, then the rest and the integrations.

04Training

Agents, managers, warehouse clerks and accountants are trained by role. Guides and video lessons are provided.

05Post-launch support30 days + ongoing

Enhanced support, then adding new customer groups and reports.

FAQ

Frequently asked questions

Can each customer have a separate price and terms?

Yes. The price list is set on the customer record and flows into the quotation automatically. Rules are defined by product, category, minimum quantity and period. To keep the number of price lists manageable, we start by sorting customers into groups.

Do agents keep the customer visit route in Odoo?

The official documentation does not confirm the visit route as a separate ready-made app. Orders, CRM and teams are available, and the mobile app for agents is included in Enterprise. The route is assessed at the diagnostic as additional work.

Can a credit limit be made mandatory?

According to the documentation, the credit limit at the POS only warns and does not stop the sale. Tying order confirmation to the limit requires an approval rule or a custom rule. The options are tested on a test database.

Does Odoo have electronic invoices and waybills?

Odoo's official Uzbekistan localization (Fiscal Localization → “uz Uzbekistan”) is built for accounting: accounts, taxes and reports. A connection to the electronic invoice is not mentioned in it. Third-party modules are available in the Apps Store; we test them or connect through the operator's API.

Do batches and shelf life work for FMCG?

Yes. Goods are tracked by batch (lot), expiry is set with four dates, and the FEFO strategy issues the nearest-expiry batch first. Tracking adds work for every product, so we enable it only for groups with an expiry date.

Odoo Online, Odoo.sh or your own server?

Odoo Online is not compatible with third-party and custom modules. If you need an electronic invoice module or custom price rules, Odoo.sh or your own server is chosen. Hosting types →

How much does the service cost and how long does it take?

The Odoo license depends on the number of users and apps (terms are on odoo.com). The scope of BUline's work depends on users, warehouses, customer groups, customization, integrations, data volume and training. The exact cost and timeline are given in a written proposal after the free diagnostic.
